Can I convert PDF bank statements into a CSV that QuickBooks can import?

Yes. Extract the statement into transaction rows, correct dates and debit-credit signs, reconcile the total activity to the statement balances, and format the reviewed rows for the destination. QuickBooks Online currently accepts either three columns—Date, Description, Amount—or four columns with separate Credit and Debit fields.

CSV is useful only when the rows are trusted.

Bank Statement Converter by Taxomate treats CSV as an accounting artifact, not just a table scrape.

  1. Upload a historical statement.
  2. Correct flagged dates, signs, descriptions, and balances.
  3. Export a CSV with the reviewed transaction set.

What trips people up.

  • QuickBooks expects specific 3-column or 4-column CSV formats.
  • Banks format CSVs differently, so mapping still matters.
  • Balance validation catches extraction mistakes before upload.
Sample data. Flagged rows keep export locked until they are fixed.

Proof stays with the file.

The source statement, extracted rows, balance check, rows to review, and export state stay in one workflow.

  • Dates, descriptions, amounts, balances, page numbers, and confidence are exported.
  • Warnings travel with the reviewed rows.
  • Private samples feed the extraction scorecard before broader claims are made.
  • Reviewed rows are the source for QBO, CSV, and Excel exports.
Sample data. Each export is checked against the statement before download.

For teams who need clean transaction rows before import mapping.

Recover missing transaction history without treating raw extraction as finished bookkeeping. Every conversion keeps the source, review decisions, balance proof, and export state together.

Frequently asked questions

What CSV columns does QuickBooks Online accept for bank transactions?

Intuit currently documents two layouts: three columns for Date, Description, and Amount, or four columns for Date, Description, Credit, and Debit. Dates should use one consistent format, zero-only amount cells should be blank, and the file still needs to be mapped to the correct QuickBooks fields during upload.

Why should I reconcile a CSV before importing it?

A correctly formatted CSV can still contain missing rows, duplicated activity, or reversed signs. Reconciliation compares the opening balance plus net transaction activity with the statement closing balance. Resolve any difference and review warnings before import, because column validation alone cannot prove that every transaction was captured correctly.

Should I choose CSV or QBO for QuickBooks?

Use QBO when you want a Web Connect-style import with account metadata; use CSV when you need transparent rows and flexible column mapping. QuickBooks Online supports both, while QuickBooks Desktop bank-feed workflows commonly use QBO. Always confirm the destination edition, account, and existing date range before importing.
